Preparing for Boyce College Graduation

In order to graduate, students must follow the steps below:

1. Graduation Eligibility

  • Check your degree audit on My.SBTS.edu. If uncertain about eligibility, please contact Academic Advising.
  • Undergraduate student may apply for graduation and participate in the graduation ceremony with 12 credit hours remaining. These 12 credits must be completed by the end of the Fall semester.
  • Declare all minors prior to applying for graduation by contacting Academic Advising.
  • Register for summer courses on My.SBTS.edu.
  • All College Board CLEP scores must be submitted by April 30th to the Academic Records/Transfer Credit Office.

2. Waitlist 1GRAD-B Course (Deadline: February 15th)

  • Students will waitlist the 1GRAD-B class in My.SBTS.edu to start the graduation process.
    • SemTrack students must apply for both Boyce and SBTS graduations by waitlisting 1GRAD-B and 1GRAD courses in My.SBTS.edu.
  • Late Graduation Request: Graduation requests submitted between February and March 1st will be charged a $50 late fee. Requests will NOT be accepted after March 1st.

3. Degree Audit Review 

  • The Registrar will conduct the graduation audit and e-mail students with the results to confirm whether or not all academic requirements have been met by March 1st. Please be watching for this email, read it in full, and respond if necessary.
  • Administrative Requirements:
    • The Cooperative Program Course (CP100) must be completed by all students.
      • The comparable class at another SBC seminary also fulfills this requirement when brought in as transfer credit. Check the TES database for a list of transfer equivalencies.
    • All College Board CLEP scores must be submitted by April 30th to the Academic Records/Transfer Credit Office.
    • Minors must be declared through the Academic Advising Office.

4. Canvas Course

  • After you have been approved to graduate by the Registrar, you will be added to the 1GRAD-B Canvas course. Access to this course will be available on February 1st.
  • You must access this course as there will be several required assignments that must be completed in order for you to graduate.

5. Clearing Holds

  • All holds must be cleared prior to graduation with the exception of Academic Records holds. These holds include:
    • Academic Records
    • Accounting
    • Campus Police
    • Library
    • MinistrySafe Sexual Abuse Awareness Training – Required for all students. It MUST be completed through My.SBTS.edu even if it has been taken through another organization/church.
    • Campus Safety Training (for all on-campus students) –  complete through My.SBTS.edu.
  • If you have a hold from any of these offices, you will be notified in Canvas approximately a month before the graduation ceremony. Hold statuses will be updated in Canvas as they are resolved throughout that month.

6. Graduation Events

All graduates must be approved by the faculty. Degrees cannot be conferred without that approval. Please contact Academic Records if you have questions about the graduation process.

If you think you may be eligible for the upcoming graduation, you may check your degree audit on My.SBTS.edu. Then if you are ready to graduate, you will register for the 1GRAD-B course under the “Registration” tab in My.SBTS. The course will be available after the previous graduation ceremony is completed.

If uncertain about eligibility, please contact Academic Advising.

  • Students who are eligible to graduate must waitlist for the 1GRAD-B class in My.SBTS.edu under the “Registration” tab by February 15th.
  • Once the Registrar reviews your account, you will receive an email from our office and be officially added to the course. Generally, you can expect to receive this email by March 1st for May graduation.
  • Failure to waitlist for the 1GRAD-B class by the deadline will result in a $50 late fee or the postponement of your graduation to the next May.
  • Undergraduate students who are within 12 (twelve) hours of meeting all the degree requirements may participate in the May graduation ceremony as long as the remaining requirements will be met by the end of the following Fall semester.
  • It is a student’s responsibility to make sure the missing requirements are being offered in the next term.  Contact an Boyce Academic Advisor for more options.

The Registrar will send your graduation degree audit to your SBTS student e-mail account by March 1st.

    • If you meet all the requirements, you will be added to the 1GRAD-B course in Canvas, which will have more details and assignments regarding graduation.
    • If you don’t meet all the requirements, you will receive a copy of the graduation audit that has the missing requirements.  Please read the e-mail carefully to see your options.

If I don’t attend the ceremony, do I have to pay the graduation fee? Yes.  All students who want to have their degree conferred must pay the graduation fee regardless of graduation attendance.

What does the graduation fee pay for? There is no cost-breakdown for the graduation fee.  It is a single fee to supplement all the expenses that are part of the graduation process.

Will my degree be conferred if I cannot attend the graduation ceremony? Yes, you will be listed in the graduation program as having your degree conferred in absentia though your name will not be announced at the ceremony.

Can I have my degree conferred but attend a later ceremony? Yes.  If for some reason, you are not able to attend the graduation ceremony, you can attend a later one if you let Academic Records know your situation.  Your name will not be in the graduation program for the later ceremony, but you will walk across the stage and your name will be announced.

  • Once a student has access to the 1GRAD-B course in Canvas, they will find all of the regalia ordering information in the course. You will need to pick-up your regalia in The Bookstore at Southern during the week of graduation.
  • All required regalia worn in the ceremony is free of charge.
  • For regalia ordering questions contact graduation@sbts.edu.

Attending the ceremony: If you have met all of your degree requirements and cleared all of your financial holds by 4pm on the day before graduation, your diploma will be handed to you as you cross the stage.

Not attending the ceremony: If you have met all of your degree requirements and cleared all financial holds by the graduation ceremony, your diploma will be mailed out the following week to the address you provided on the Graduation Information Form in the 1GRAD-B course.

Not completed my degree requirements: If your graduation requirements are pending at the time of the ceremony or if you have any financial holds, your diploma will be mailed after you have completed the requirements and all final grades have been posted on your final transcript. It will be sent to the address you provided on the Graduation Information Form in the 1GRAD-B course.
